A commercial door maintenance contract pays for itself when a down door stops throughput. Visit frequency is set by cycle count: 1 or 2 visits a year for low-use doors, 4 for typical dock doors, and 6 to 12 for high-cycle openings. Fire-rated doors require annual drop testing under NFPA 80 regardless.
The comparison is not repair cost versus zero
Facilities managers evaluate a PM agreement against the cost of the repairs it prevents, which understates it badly. When a dock door is down, the cost is the trailer sitting in detention outside, the crew standing inside, and the outbound freight that misses its window. Against those numbers the repair invoice is a rounding error. The correct comparison is scheduled service cost against hourly throughput at that opening, and on any door that touches revenue the agreement wins.
Cycle count sets the schedule, not the calendar
A door in a receiving bay that opens twice a shift and a door in a high-turn cross-dock that opens 200 times a day are different machines with different consumables lives, even if they came off the same truck. We set visit frequency by measured or estimated cycles: an annual program for low-use openings, semi-annual for moderate, quarterly for typical dock doors, and 6 to 12 visits a year for high-cycle. Pricing is per door, per visit, so a facility with a mix pays for what each opening actually needs.
What a PM visit covers
Springs and counterbalance checked and adjusted. Cables, drums, bearings and shafts inspected. Hinges, rollers and track fasteners tightened and lubricated. Bottom bar and weather seal condition. Operator limits, force settings, brake and clutch. Photo eyes, safety edges and reversing devices tested. Chain, sprocket and drive alignment. On dock equipment: leveler operation, lip condition, hydraulics or springs, seals, shelters, bumpers and restraints. You get a written condition report per door, which is what makes budgeting possible instead of reactive.

NFPA 80 and the documentation problem
Fire-rated door assemblies must be inspected and drop tested annually with written records kept on site. Most facilities that fail an inspection do not fail because the door is broken. What changes after the first year
Facilities that move from reactive service to a scheduled program generally see emergency callouts drop toward zero, because the failures that used to happen at 5 a.m. now get caught as a worn part on a Tuesday afternoon. The second effect is budget: parts replacement becomes a forecast line rather than a series of surprises. The third is that door condition stops being an argument between operations and maintenance, because there is a written record per door.
