What to request from an industrial floor coating contractor
Short answer
What to request from an industrial floor coating contractor?
Request a site-specific scope, proposed system data, preparation plan, shutdown schedule, safety coordination, insurance documentation and acceptance criteria. A vendor packet should help purchasing and operations approve the same job. Product names alone do not establish suitability for your traffic, chemicals, cleaning process or operating environment.

Define the operating conditions
Provide floor area, traffic and equipment types, loads, chemicals, cleaning methods and current failures. Identify drains, joints, transitions and areas that must remain accessible. Explain the downtime limit and who can authorize a shutdown. Photographs help early discussion; a site survey is still needed before committing to a system.
Request a complete technical submittal
Ask for the proposed system build-up, product data and safety data sheets, substrate assessment, preparation method and repair treatment. Have the bidder address your actual exposures and any required texture or markings. If a product claim depends on a test or standard, request the supporting document and its relevance to the proposed assembly.
Make purchasing and site requirements explicit
Request the contractor’s W-9, current certificate of insurance and the project contacts your purchasing process needs. Confirm any site induction, PPE, access, containment and waste handling requirements with your facility team. These are documents to request and review, not claims that every project automatically meets a particular certification.
Agree acceptance and closeout before work
Define inspection points, the allowed reopening conditions and how unfinished or defective items will be recorded. Request a final system record, care instructions and written warranty terms. Tie any payment milestones to the agreed scope and handover. Keep a change log when the slab survey changes the proposed work.
- Operations: access and shutdown owner
